This is the data privacy policy of IMI

1.0 PURPOSE

This policy is applicable to IMI-University Learning Management System that caters the following:

     1.1 To provide a learning platform that ensures optimal performance of the system accessible anytime and anywhere.

     1.2 To manage and safeguard user privacy and security of training materials.

     1. 3 To categorize the authorize personnel, restrictions of each user, what may be placed on the system, as well as account and course creation.

2.0 SCOPE

     2.1 This policy applies to authorized administrator, SMEs, and users (Managers, Supervisors and rank and files)  entitled with a corresponding level of access or LMS account for on-line training materials viewing, examinations and course completion.

4.0 DEFINITION OF TERMS

Access

·          The ability to log-in to the system and view available courses and take online training and exam from enrolled courses

Administrator

·         designated user role with conferred permissions within the LMS

·         the focal person to manage the system, performs and oversee the administrative activities and performance of LMS.

Course Creator

·         Develops courses accompanied with syllabus and training materials, uploaded to the system.

Courses

·         Within the LMS, a single operational site for references, materials, activities and interactions.

Curriculum

·         The courses offered that adds knowledge to enhance skills which includes the learning standards about the learning objectives that learners are expected to meet.

IMI-University (IMI U)

·         A corporate training within the Learning & Development Unit that develops and administers all behavioral and technical training program of IMI.

Learning & Development

·         A Human Resources function of IMI which facilitates the entire training & development initiative of IMI

IMI-University Learning Management System (IMI-Univerity LMS)

·         Refers to both software applications and web-based technologies that are used by IMI-U, learners, and other personnel given an access to plan, implement, supplement, monitor, and/or assess learning or to communicate about learning.

Online

·         Material that is available from or linked to a network server or occurs on an electronic network

Online assessment

·         Assessments that are accessed completed and submitted online

Subject Matter Expert

(SME)

·        An IMI employee who is recognized to have accumulated expertise in a field and who has been certified as capable of transferring knowledge to others in that field


 5.0 POLICY

      5.1 User’s Account Management

           5.1.1 All users of IMI-University LMS must authenticate with a unique user credentials for a secured login and   password data.

          5.1.2 Identified users will access their systems account using their assigned username and password only

          5.1.3 Identified administrators will be assigned with an account with the authority to create courses,    generate content of the training materials or modules and with full control of all the administrative functions related to the system.

          5.1.4 All SMEs, IMI-University trainers and other identified personnel have access to LMS but will be given limitations accordingly as per purpose of usage.

      5.2 User Management and Access to LMS

          5.2.1 To ensure privacy, protection of intellectual property and the integrity of training materials, access to courses on the IMI-University LMS is regulated. However, it is recognized that there are identified SMEs or personnel, who to fulfill their role, requires access to courses and that the level of access will vary according to the role and responsibility of each person.

          5.2.2 In certain circumstances a group, person or organization without access on LMS but associated with IMI-University may request access to the administrator for approved purposes.

     5.3 Content Management and Access

          5.3.1Training materials will be available in LMS, as per agreed format with animations and narrations.

          5.3.2 Materials are curriculum, competency and standardization based or as per need by the organization as per business direction structured in a basic manner.

          5.3.3 The material shall be evaluated by LMS administrator and be uploaded to the system after screening or approval of the content.

5.4 Confidentiality and privacy of information

          5.4.1 All users provided with access to the LMS will abide by the acceptable use of this policy.

          5.4.2 Confidentiality and privacy of information within the IMI-U LMS are supported through the requirement  for all users to log onto the system using their name and password.

          5.4.3 All activities that pertains to leakage of training material, test papers or sharing of information from IMI-U LMS as an act of unauthorized disclosure will be sanctioned accordingly in reference to Article 3 of Code of Discipline for Non-Conformance Against Company Interest and IP Protection which is dismissal.

5.5 System Maintenance, Outages, Upgrades

          5.5.1IMI-U implements a well-adjusted approach between upgrading the functionality of the LMS and    ensuring stability of the online teaching and learning environment.

          5.5.2 The IMI-U, ICT and other committee will undergo consultation with appropriate stakeholders that   will approve any major updates of the LMS.

 

6.0 RESPONSIBILITY  

     6.1 It is the responsibility of all users of IMI-U LMS to comply with this policy.

     6.2 It is the responsibility of the administrators in creating and maintaining the content of IMI-U LMS, update the users for any changes, add, update or remove users and enroll/unenroll users and courses.

     6.3 It is the responsibility of LMS administrator to governance of data and content of IMI-U LMS
